Primary Purpose
The Academic Relations Coordinator will support the rollout and administration of the University’s first collective agreements for Sessional Instructors and Graduate Research/Teaching Assistants (GRA/GTA). This role will focus on process creation, recruitment coordination, seniority and incumbency management, and change management. The Faculty Relations Coordinator will work closely with Human Resources (HR) and the Office of Faculty and Academic Life (FAL), ensuring consistent implementation of collective agreements across the six faculties.
Key Accountabilities
Collective Agreement Administration
· Maintain and administer seniority and incumbency lists for Sessionals and GRA/GTA staff
· Ensure all appointments, offers, and renewals comply with the collective agreement terms
· Respond to faculty and staff inquiries regarding collective agreement interpretation and application
· Maintain accurate and confidential records in accordance with HR policies
Recruitment and Appointment Coordination
· Supports the implementation and execution of Labour Relations direction and priorities, ensuring alignment with the University’s strategic plan.
· Administers and monitors established bargaining mandates and budgets.
· Provides triage support for complex, escalated labour relations matters
Process Development and Change Management
· Design and implement standardized processes to support collective agreement rollout
· Identify opportunities to improve workflow efficiency and compliance
· Provide guidance and support to ensure smooth transition to new practices
· Assist in training and orientation related to collective agreement administration
Stakeholder Collaboration
· Serve as a liaison between HR, FAL, and Faculty leadership on labour relations matters
· Collaborate with HR and FAL to ensure consistent messaging and practices across Faculties
· Support Faculty in interpreting and applying collective agreement provisions correctly
Reporting and Analysis
· Prepare reports and summaries on seniority, incumbency, recruitment, and other relevant metrics
· Assist in identifying trends or potential issues to support proactive labour relations management
· Contribute to continuous improvement of HR, FAL, and Faculty processes through data-driven insights
Required Qualifications
Education
· Post-secondary (degree, diploma and/or certificate) in Human Resources, Labour Relations, Industrial Relations, Business Administration, or related field
Experience
· 1-3 years’ experience in human resources, labour relations, or collective agreement administration (post-secondary experience preferred)
Knowledge/Skills/Abilities
· Knowledge of labour relations principles, employment legislation, and collective agreement processes
· Strong organizational, analytical, and problem-solving skills
· Excellent interpersonal and communication skills; collaborative approach
· Ability to handle confidential information with discretion
· Ability to triage stakeholder needs with a professional, service-focused approach
