Job Description:

Primary Purpose

The Outreach Coordinator (OC), Engineering Outreach, is responsible for the development and delivery of programs aimed at elementary, secondary, post-secondary school audiences that fulfill the Faculty’s outreach mandate. The OC will also aid and interact with other like-minded groups as directed by Engineering Outreach’s Senior Manager, and the Faculty of Engineering’s Associate Dean of Outreach Equity, and Diversity.

Key Accountabilities

Program Coordination

· Responsible for the planning, implementation, and evaluation of Engineering Outreach programs under assigned portfolios (see program’s listed below).

· Develop and grow accessible programming for all youth through partnership with school boards, community organizations and donors under direction of the Senior Manager, Engineering Outreach

· Responsible for the hiring, training, supervision, performance management and discipline of co-op and casual staff; liaising with Senior Manager, Engineering Outreach, and UW HR as needed.

· Develop co-op and casual staff training initiatives to ensure effective orientation, team building, ongoing develop and potential retention of staff

· Prepare content and schedule for programs. Programming must be appropriate for audience. Examples of programming include aligning goals with community groups, creating offerings for youth on campus, reaching students who otherwise would not have STEM learning opportunities

· Liaise with other Outreach Coordinator’s on activities and manpower to support program development and delivery

· In consultation with Senior Manager, ensure that adequate supervision is provided; this may include hiring and solicitation of previous staff

· Collaborate with Engineering Outreach team on training and supervision of staff and/or volunteers in a manner appropriate for the event

· Document programs and events (e.g., testimonials, photos, evaluation) and report on outcomes for future improvement

· Setup and oversee registration of programs in WCMS and other registration systems (e.g., CampBrain)

· Communicate with internal stakeholders to fulfill programming requirements and meet Faculty’s mandate (e.g., arranging tours of research labs, presentations by staff/faculty on campus, guest speakers, and hands-on activities)

· Maintain awareness of research / new technologies that could impact programs

· Develop and use tools to assess success of program activities. Assessment may be used to share success with other programs through papers and conferences

· Ensure the safety of all program participants and staff

· Maintain program/event budgets and cost tracking, ensure alignment with unique specifications as outlined by program supporters

· As some travel may be required, available for weeklong (day/night) trip to a location outside Waterloo for (transportation and housing provided for overnight trips ONLY)

· Examples of programs that will be organized and delivered by the Outreach Coordinator’s include:

- Engineering Science Quest (ESQ) programs: camps, clubs, and events

- Catalyst programs: conferences and camps

- Community group programs: Women in Engineering, STEMpowered for Black students and programs for Indigenous students

- Non-profit programming: workshops, events, and clubs

- School board programming: workshops and events

- Other programs as directed by Senior Manager, Engineering Outreach

Promotion and Communication of Programs

· Advertise and promote programs through Outreach’s website, printed media, social media, and other means

· Oversee the compilation and distribution of program newsletters

· Communicate with program and event stakeholders before/during/after the program as appropriate. This includes answering questions about programs and registration process, preparing information packages, and performing post event/program surveys

· Communicate with external stakeholders (i.e., school boards, community partners) to find best way to promote programs and understand the needs of the audience

· Communicate and promote work with other local (i.e., staff, faculty, community partners) and national stakeholders (i.e., Actua)

· Support the preparation of and delivery of reports for funders, partners, and other interest groups

Other Accountabilities

· Work in collaboration with other Outreach Coordinator(s) in planning and delivery of programming outside of assigned project leads

· Hiring and supervision of short-term (i.e., co-op, casual hires) staff

· Support and development of shared office resources, such as Google Apps information sharing portal and support technology

· Support graduates / undergraduates with coordination and running of their events as directed by Senior Manager

· Office wide administrative tasks as assigned (i.e., email management, newsletter drafting)

· Special task/projects as assigned by Senior Manager

Required Qualifications

Education

· Undergraduate degree in STEM field, or equivalent education and related experience

Experience

· Leadership experience in a classroom, camp, or equivalent environment

· Experience with development and/or delivery of STEM activities

· Experience with Google Applications and Microsoft Office for sharing of knowledge across platforms

· Experience with equity deserving groups, including, but not limited to, Black, Indigenous, girls/women, low socioeconomic status, and those with accessibility needs

· Lived Experience: A primary focus of Engineering Outreach programming is to reach equity deserving groups who have been historically underrepresented in STEM fields; these equity deserving groups include Black students, Indigenous students, girls and non-binary Youth, persons with disabilities, racialized communities and those facing socioeconomic disadvantages. Candidates with lived experiences in one or more of these communities are encouraged to apply for the position

· Strong time management and planning skills

· Demonstrated ability working with teams composed of diverse audiences (e.g., age, gender, culture)

· Strong communication skills and ability to clearly articulate plans with both internal and external stakeholders

· Problem solving skills and comfortable coming up with new and creative solutions to problems

· Motivated to recognize gaps and strive to find areas for improvement within Team’s operations
