Duties

The Administrative Assistant will report to a Director / Manager, and provide necessary administrative support services to them and Business Unit Members, both individually and collectively.

In this role, the Administrative Assistant is responsible for supporting budget forecasting and tracking, coordinating procurement activities, processing invoices, coordinating meetings, and actively participating in discussions and decisions. The incumbent will also make travel arrangements, coordinate and track training and conference requests, purchase supplies, maintain various Business Unit schedules, and manage an effective office providing administrative and secretarial support. Duties may vary depending on the position, however, they generally include, but are not limited to, the tasks outlined above.

Intent of the process

The purpose of this process is to create and maintain an inventory of candidates to fill various administrative positions at FedNor.

We are currently seeking candidates for roles based in Northern Ontario. The successful candidate will be required to relocate to one of our FedNor offices. We have several offices locations across Northern Ontario, and the specific relocation site will depend on the position being offered. Candidates who are not already located in Northern Ontario must be prepared to relocate as part of the job requirements.

Education:

Successful completion of high school or an acceptable combination of education, training and experience.

Degree equivalency

Experience:
• Experience in providing administrative support services* in an office environment;

*Administrative support services are defined as, but not limited to: managing agendas, scheduling and organizing meetings, preparing documentation, correspondence, and briefing materials, coordinates required procurement, maintaining a filing / priority tracking system, follow up for information from management / clients, support budget forecasting and tracking, makes travel arrangements, and other related duties.

• Experience providing client services

• Experience in drafting, editing, revising correspondence or reports, responding to requests for information, and providing quality assurance support services.

Asset Experience:
•A post-secondary diploma/degree in a relevant field (e.g. finance, administration, human resources).
• Experience in interacting with internal or external stakeholders
• Experience working with MS Office tools, such as Microsoft Excel, Word, PowerPoint, and MS Teams.
• Experience working with senior management (Director or above).
• Experience in preparing and reviewing legal documents.
