There is one Full-Time contract Accreditation and Project Coordinator position available starting on February 10, 2025, and ending on December 31, 2026. working 37.5 hours per week.
Your Role:
Plays a key role in supporting the organization’s accreditation process and a variety of critical projects within the CEO’s office. Working closely with the CEO, the Executive Assistant to the CEO and Accreditation Project Manager and senior leadership, this position involves research, writing, evidence gathering, and assisting with coordination of accreditation activities. It also includes the coordination and/or leadership of various projects and initiatives across Lead Agency and Mental Health Services. This position will work closely with the Mental Health Services Leadership Team to provide consultation and support in the implementation of operational plans. Provides logistical and administrative support for the CEO’s office, including Board of Directors coordination, meeting preparation, and assisting with special projects such as grant writing. This position requires a high degree of organization, attention to detail, confidentiality and the ability to manage multiple priorities simultaneously. Works intentionally from an equity perspective to further create a sense of belonging at the Agency.
Tasks:
Coordination:
- Leads the development, implementation, and optimization of strategic communication and central agency systems, ensuring seamless information flow and alignment among Boards, the Lead Agency Advisory Council, Senior Leadership, and staff.
- Drives the coordination and execution of high-impact organizational initiatives and strategic projects in collaboration with the CEO and Senior Leadership.
- As a back-up to the Executive Assistant to the CEO and Accreditation Project Manager, acts in their absence as a liaison between the CEO, Board Members, staff and key stakeholders, corporate lawyers and consultants and government officials from all levels of government, as requested.
- Leads cross-functional special projects, providing strategic oversight and ensuring successful delivery of initiatives aligned with organizational priorities.
- Coordinates internal and external communication strategies to promote organizational events and publicity strategies.
- Oversees the coordination of annual staff and Board social events.
Standards Compliance and Evidence Preparation:
- Familiarize self with standards from all 6 accreditation standard modules. Works with the CEO, Board and agency leaders to develop an understanding of past practices as they relate to accreditation leadership and preparation.
- Partners with the Human Resources department and Operational leaders on an ongoing basis, and at a minimum every three years, to ensure organizational policies and procedures exceed accreditation standards, conducting regular reviews and driving compliance innovation.
- Supports the Mental Health Services Leadership Team with the maintenance and coordination of quality improvement initiatives within Mental Health Services.
- In consultation with managers, reviews all operational and organizational practices to ensure they are in line with Accreditation Standards and makes recommendations for adjustments where necessary.
Site Review:
- Prior to the scheduled site review, assist in ensuring all onsite documentation is easily accessible and available for the review team.
- Prior to the scheduled site review, assist in ensuring interview schedules are prepared, staff are available and prepared for review visit.
- Assistance in welcoming the review team and supporting transportation and accommodation planning.
- Acts as a resource to the Executive Assistant to the CEO & Accreditation Project Manager and site review team during the site visit, helping to ensure access to documentation, programs, services and staff, and to respond to other requests that may be made.
- Assist with coordination of final feedback session. This event should include invitations to staff and Board members as applicable.
Project Coordination:
- Support project-based work related to accreditation, Lead Agency, grants, agency and operational policy and procedure development and updates, and other initiatives led by the CEO’s office and the Senior Director.
- Coordinate timelines, tasks, and deliverables across teams and ensure projects stay on track.
- Draft and edit project reports, proposals, and other materials as needed.
- Assist with identifying and managing project risks and providing proactive solutions.
- Acts as liaison between Lead Agency Advisory Council answering inquiries and communicating information as necessary.
- Supports planning activities that incorporate ongoing, strategic and meaningful engagement of children and youth with mental health struggles and their families; core service providers, cross-sector partners and relevant key stakeholders.
General Administration:
- Provides overall management of a variety of organizational documents ensuring high level of accuracy, security and confidentiality.
- Coordinates a variety of meetings, including location, refreshment, accommodation and equipment arrangements.
- Anticipates administrative needs and requirements and takes a proactive approach to ensure efficiency in meeting standard compliance requirements.
- Prepares a variety of confidential reports, presentation materials, documents, memos, minutes and agendas.
- Coordinates and formats the Annual Service Plan.
- Seals and records corporation, Ministry and contract documents.
- Prepares and updates organizational charts and other documents for internal and external use.
CEO and Senior Leadership Support:
- Provide administrative and project support to the CEO’s office and Senior Director, including coordinating meetings, preparing agendas, and taking minutes.
- Follow up on action items and ensure timely completion of tasks related to Board of Directors, senior leadership meetings, and Lead Agency activities.
- Provides strategic analysis and research to support the Board of Directors, Lead Agency Advisory Council, and Provincial Mental Health Committees, preparing comprehensive reports and briefings to inform decision-making. May include support with analysis and interpretation of reports. Research materials etc. as required.
Grant Writing and Research:
- Assist with identifying grant opportunities, preparing grant proposals, and supporting grant administration.
- Research relevant funding sources and maintain a database of potential grant opportunities.
Your Talents and Experience:
Diploma or degree from a recognized university/college in a business or related program and 3 years of experience in project coordination, research, writing, or a similar role. Ability to organize, prioritise, meet deadlines, problem solve, multi-task and work independently or as part of a team are essential. Must have exceptional written and verbal communication skills and be proficient in Microsoft Office Suite and Internet skills. Experience working with senior leaders and Board of Directors is preferred. Demonstrates alignment with the agency’s commitment to antiracism, anti-oppression and equity practices. Must be experienced in analysis and interpretation of policy and legislation and be able to understand and action requirements. Previous experience working with such Accreditation bodies is preferred. Ability to work independently, take initiative, and maintain a high level of professionalism in all interactions. Strong problem-solving skills and ability to work proactively to resolve issues. It is essential that this position has a solid knowledge of organizational and program policies, procedures and systems.

- Rate of Pay: At Starling Community Services all salaries are categorized under a series of "bands" determined during our job evaluation process. When determining rate of pay for external hires, a candidate’s past related experience will be taken into consideration along with where others with similar experience currently fall within the band.
- Note: most new team members will start between the starting salary and the mid-point of the range.
- Job Band H (hourly wages): Min - $28.65, Mid - $31.10, Max - $35.27
