Lerners is seeking an Administrative Services Coordinator to support the Administrative Services team in the Toronto, Ontario office. The ideal candidate will have over one (1) – two (2) years of experience working in a similar position. The primary duties include print and distribution, front desk coordination, records management, facilities support, as well as various other administrative tasks. This is an in-office position and requires a commitment to coming into the office five (5) days a week.

Primary Responsibilities
Office Coordination
- Processing mail and couriers
- Processing reproduction requests
- Front desk coordination
- Provide back up to the Facilities Boardroom Coordinator
- Performing quality control inspections
- Scanning documents
- Liaise with litigation support and legal teams
- Manage digital and physical files
- Responsible for file creation, retention, and destruction in line with firm policies
- Manage off site store services
- Provide paper-lite support
- Control access to corporate documents and evidence
- Perform other duties and tasks assigned
Records Management
- Sorting, coding, and filing records based on internal client instructions
- Creating hard‑copy indexes and electronic cross‑reference tools
- Creating physical file folders during new matter intake in accordance with current procedures
- Indexing closed files for off‑site storage and coordinating retrieval as required
- Maintaining file logs and coordinating the transfer of inactive or closed files to off‑site storage
- Assisting staff with locating and delivering files as needed
Qualifications
- Minimum 1 - 2 years of experience as a file clerk, in records management, or in a copy centre
- Reception experience is considered an asset
- College diploma or university degree in a related field is an asset
- Basic knowledge of records management is an asset
- Proficiency with Microsoft Office and Outlook
- Resourceful and proactive in identifying and resolving issues
- Professional and tactful, with the ability to interact effectively with individuals at all levels
- Team-oriented, with a strong sense of initiative and flexibility
- Ability to work independently and collaboratively in a fast-paced environment
- Strong time management, organizational, and attention-to-detail skills
- Excellent verbal and written communication skills
- Ability to work with minimal supervision

Salary
Target Hiring Range: $42,800 - $48,200
Commensurate with skill level, years of experience, and aligned with internal and market equity.
