Lerners is seeking a Records and Facilities Clerk to support the Administrative Services team. This Role acts as a resource for employees in regard to client files and office facilities providing day-to-day support to ensure efficient records management and smooth office operations. PRIMARY RESPONSIBILITIES
Records Management
- Sorting, coding, and filing records based on internal client instructions
- Creating hard‑copy indexes and electronic cross‑reference tools
- Creating physical file folders during new matter intake in accordance with current procedures
- Indexing closed files for off‑site storage and coordinating retrieval as required
- Maintaining file logs and coordinating the transfer of inactive or closed files to off‑site storage
- Assisting staff with locating and delivering files as needed
Facilities Management
- Perform daily walkthroughs to identify facilities or maintenance issues and report concerns as required
- Submit, track and follow up on building maintenance requests (eg. Lighting, HVAC, plumbing, cleanliness, repairs)
- Assist with basic, non-trade maintenance tasks such as replacing light bulbs, replacing tiles, adjusting furniture, setting up equipment and minor office repairs
- Coordinate office moves, workstation setups and furniture moves
- Liaise with external vendors
Qualifications:
- Minimum 1-2 years’ experience in records and facility services
- College diploma or university degree in related field
- Basic knowledge of records management and associated principles (i.e. knowledge of classification systems)
- Basic knowledge of Microsoft Office and Outlook
- Physical ability to carry out the duties of the position
- Solid written and oral communication skills
- Ability to be resourceful and proactive when issues arise
- Multitasking and time-management skills, with the ability to prioritize tasks
- Excellent administrative and organizational skills
- Excellent interpersonal and client service skills
- Strong attention to detail
- Professional and tactful with the ability to interact effectively with people at all levels
- Team-oriented individual who shows initiative and demonstrates flexibility
- Proactive team player but able to perform well independently
- Ability to work with minimal supervision
- Flexibility to work overtime may be required to support operational needs

Salary:
Target Hiring Range: $47,595 - $62,600.
Commensurate with skill level, years of experience, and aligned with internal and market equity.
